2. Scope
This policy applies to any employee who:
• Films equipment demonstrations
• Records shop or service activity
• Creates educational equipment content
• Captures jobsite footage
• Participates in on-camera company content
No employee may publish company-related content without following this policy.
3. Content Objectives
Social media content may be used to:
• Educate customers about equipment features and best practices
• Demonstrate proper equipment use
• Announce special promotions
• Highlight service expertise
• Showcase rental readiness
• Promote Vermeer North Atlantic as a professional, trusted equipment partner
Social media is not to be used for:
• Political commentary
• Public complaints
• Pricing announcements
• Competitor criticism
• Personal opinions unrelated to company operations
4. Safety & Professional Standards
All video content must:
• Display proper PPE where required
• Show safe machine operation
• Avoid unsafe proximity to moving equipment
• Avoid reckless or staged behavior
• Maintain professional tone and conduct
Content that appears unsafe, even if technically compliant, may be declined.
5. Customer & Confidentiality Protection
Employees may not:
• Film on a customer jobsite without permission
• Display customer logos without authorization
• Show addresses or identifiable infrastructure
• Discuss active bids, contracts, or funding details
• Reveal confidential customer or company information

6. Employee Participation & Consent
• Employees appearing on camera must have a signed media participation consent form on file.
• No employee will be required to appear on camera. Participation is voluntary.
• Non-employees appearing in content must provide signed authorization before the video may be approved or posted.
• Required documentation must be submitted prior to approval.
7. Video Submission Process
Step 1 – Pre-Filming Responsibilities
Before filming, employees must:
• Confirm compliance with safety standards
• Ensure no confidential or restricted information is visible
• Obtain necessary permissions from individuals being filmed
• Secure customer site authorization when applicable
If uncertain, employees should consult Carlo Chinosi prior to filming.
Step 2 – Submission
Completed videos must be submitted to Carlo Chinosi via:
• Company email
• Company-approved text message
• Approved shared drive upload
Each submission must include:
• Employee name
• Department
• Date filmed
• Equipment featured
• Filming location
• Brief description of purpose
• Confirmation that required releases are attached
Incomplete submissions will not be reviewed.
Step 3 – Release Documentation
All required release documentation must be submitted to Carlos Chinosi prior to approval.
No video will be approved or posted without proper documentation on file.
8. Review & Approval Authority
All content must be reviewed and approved by Carlo Chinosi before publication.
Carlo Chinosi has final authority over:
• Approval or rejection of content
• Editing decisions
• Caption language
• Hashtag usage
• Posting schedule
• Platform selection
No employee is authorized to post company-related content directly to official social media accounts.
9. Personal Social Media Accounts
Vermeer North Atlantic recognizes that employees may maintain personal social media accounts. The Company neither requires nor encourages employees to use their personal social media accounts to promote the Company, its products, or its services.
Employees who choose to post work-related content on their personal social media accounts do so voluntarily and in their individual capacity, not as representatives or spokespersons of Vermeer North Atlantic.
Employees are responsible for ensuring that any work-related content they publish on personal accounts:
• Does not imply it is an official communication from Vermeer North Atlantic.
• Does not use company logos, branding, or trademarks in a manner that suggests Company endorsement or authorization.
• Does not disclose confidential, proprietary, or customer information.
• Does not discuss pricing, quotes, promotions, or business terms.
• Does not make claims regarding Vermeer equipment, products, services, warranties, or competitors on behalf of the Company.
• Complies with all applicable laws, safety standards, and this policy.
Employees are personally responsible and accountable for the content they create and publish on their personal social media accounts. Personal social media activity is the responsibility of the individual employee and does not represent the views or official position of Vermeer North Atlantic.
10. Violations
Failure to comply with this policy may result in:
• Content removal
• Loss of content creation privileges
• Disciplinary action, up to and including termination
11. Consultation Encouraged
Employees are encouraged to consult Carlo Chinosi during any stage of content development, including:
• Idea development
• Filming planning
• Messaging review
• Policy clarification
Early consultation is strongly recommended to ensure alignment and reduce risk.
Policy Acknowledgment
All employees participating in content creation must sign an acknowledgment confirming:
• They have read and understand this policy
• They agree to comply with its requirements
• They understand that final approval authority rests with Carlo Chinosi
